Trade Show Leads: From Business Cards to CRM Before They Go Cold

Trade show leads stay warm only if every contact lands in one shared list, gets imported into your CRM, and has an owner and a first follow-up date within days of the event. Sounds obvious. But most small B2B teams know the other version all too well: you come back from the fair with a stack of business cards and a phone full of photos, and a month later nobody has called anyone. This guide walks through the three stages that stop that from happening - prep before the event, lead capture on the stand, and follow-up in the week after.

Why Do Trade Show Leads Go Cold So Fast?

Because the contacts sit in a pocket or a camera roll with no owner, no context and no deadline. The cards get split between several reps. What was actually said in each conversation lives only in someone’s head. Then everyone goes back to the day job, the backlog of emails and support calls piles up, and follow-up slides to “next week” (which, let’s be honest, usually means never). Is that a tooling problem? Not really. The real gap is a missing process, and it’s cheap to fix before the next show.

Before the Event: Prepare a Capture Sheet That Matches Your CRM Import

Build one spreadsheet template before the fair, with columns that match the fields you’ll import later. Then nobody has to reformat anything after the show. Here’s what I’d put in it:

  1. Name
  2. Company
  3. Email
  4. Phone
  5. Rep who met them
  6. Interest or product
  7. Temperature (hot, warm, cold)
  8. Agreed next step
  9. Consent note

Agree on the tags up front - the event name, fixed temperature labels - so every rep writes them the same way. “Hot”, not “HOT!!” or “v. interested”. During the Show: Capture Context, Not Just Contact Details

A card without a note is just a name. So jot down what you talked about right after each conversation. Scribble on the back of the card. Snap the card next to a short handwritten note. Or fill in the shared sheet when the stand goes quiet. Whatever works. The one thing you can’t skip is the promised next step - a quote, a demo, a call - because that becomes the first follow-up task. And wrap up each day with a 15-minute catch-up where reps type the day’s cards into the sheet by hand. Tired feet, sure, but the conversations are still fresh that evening. By Monday they won’t be.

Combine every rep’s sheet into one file, clean it up, and import it as CSV or XLSX within two working days. Nothing fancy:

  • Merge all the sheets into a single file.
  • Normalize the formats: lowercase emails, one phone format, consistent company names.
  • Map the columns to your CRM fields.
  • Tag every record with the event name.

Every lead that showed real interest should become a deal in a pipeline stage with a dated next task, so nothing hangs on anyone’s memory.
